Treat the dock as several connected workflows
Loading dock security involves more than deciding whether a truck may enter. Drivers, receiving employees, contractors and pedestrians may arrive at the same time, while the receiving team is making its own decisions about goods. Define which team controls each decision before a busy delivery window.
Security may verify an expected arrival and direct the driver to the approved waiting point. Receiving staff determine whether the shipment matches the order and may be accepted. Trained dock personnel manage vehicle positioning and equipment under the site’s procedures. Keep those responsibilities explicit.
Separate waiting, verification and unloading
Give drivers a clear process for announcing arrival and waiting for instructions. Use the property’s approved traffic arrangement and keep pedestrian routes distinct from vehicle operations. Do not ask a receptionist or guard to improvise traffic control beyond their training or assigned role.
Check the delivery appointment or approved reference through the receiving team’s system. A familiar carrier name should not replace the normal verification. When a shipment is unexpected, contact the designated receiving representative through a known channel rather than a phone number supplied only by the visitor.
Use a delivery exception record
Record the arrival time, carrier, relevant order or appointment reference, receiving contact and decision. Include discrepancies such as an unplanned arrival, changed vehicle or delivery outside the agreed window. Keep personal details limited and restrict access to operational records.
A simple exception entry should say what differed, who reviewed it, what instruction was given and when the matter was closed. “Manager notified” is incomplete if nobody records whether unloading was approved, delayed or declined.
Keep a clear boundary after access is granted
A delivery authorization should specify where the driver or accompanying personnel may go. Access to the dock does not necessarily include offices, storage areas or employee facilities. Give courteous directions and a contact method for assistance.
If a driver needs to move beyond the approved area, refer the request to the responsible host. Avoid sharing detailed building layouts or security arrangements unnecessarily. Keep public-facing directions useful without exposing restricted routes or access information.
Review congestion and unfinished decisions
At shift change, identify vehicles still waiting, deliveries under review, temporarily issued access items and any maintenance issue affecting the entrance. The incoming team needs current status, not a long list of completed arrivals.
Review the causes of repeated congestion with operations: unrealistic appointment spacing, slow purchase-order confirmation or unclear carrier instructions may be the real problem. Adding another checkpoint will not solve an approval bottleneck. Test a revised process with the dock team and measure whether delays and unresolved exceptions decline.
Quick review checklist
- Expected delivery reference
- Authorized receiving contact
- Approved waiting and movement arrangements
- Recorded exception decision
- Open deliveries handed to the next shift

Frequently asked questions
Who should approve an unexpected shipment?
The authorized receiving or operations representative should make the shipment decision. Security can verify the arrival and document the instruction within its assigned role.
Should delivery drivers receive general building access?
Only access specifically authorized for the visit. Dock entry and permission to enter other building areas are separate decisions.
What belongs in a dock shift handover?
Open delivery decisions, vehicles still present, issued credentials, relevant hazards and the manager responsible for each unresolved item.
