An empty building still has active responsibilities
Vacant property security connects ownership, property management, maintenance and any assigned security provider. The building may have fewer occupants, but deliveries, contractors, utility work and environmental conditions still create decisions. Begin by naming the person authorized to approve access and corrective work.
Record the areas included in the assignment and any limits on entry. Officers should not enter unsafe structures, investigate hazardous materials or perform technical checks outside their training. A security inspection is not a building-code, engineering or environmental inspection.
Create an observation-based inspection scope
Define the approved exterior and interior observations, reporting format and escalation route. Examples include changes to accessible boundaries, signs of water intrusion, unexpected occupancy and conditions requiring maintenance attention. Avoid publishing patrol timing or detailed vulnerabilities.
Use dated records that distinguish a new condition from a previously reported one. If an area cannot be inspected safely or access is unavailable, say so. An unobserved area should not be marked satisfactory simply to complete the form.
Control contractor and prospective-tenant visits
Require the property’s approved appointment and authorization process. Identify the host, work or viewing purpose, permitted area and expected end time. Reconcile temporary keys and credentials when the visit finishes.
An estate agent, maintenance vendor or utility representative may have a legitimate reason to attend, but each still needs the appropriate approval. Verify unexpected requests through known contacts. Keep a current access list so old instructions do not survive a change in property management.
Assign an owner to every condition that matters
A useful report describes the observation, its location at an appropriate level of detail, the time, any immediate authorized action and the recipient. Maintenance should confirm whether repair is required and provide completion evidence. Security can then document the assigned follow-up observation.
Keep urgent safety concerns separate from routine maintenance. If there is an immediate danger, use emergency procedures and protect people first. Do not ask an officer to make an electrical or structural judgment because the building is unoccupied.
Review the plan through seasonal and ownership changes
For South Florida properties, weather preparation and post-event access should align with the owner’s wider emergency plan. Establish who authorizes reopening or re-entry after a significant event. Do not confuse a security visit with a professional safety clearance.
Review repeated conditions, unclosed work orders and access exceptions at a regular management meeting. When a tenant moves in or the property changes hands, formally transfer records and responsibilities. The goal is a continuous chain of ownership rather than a collection of photographs nobody acts on.

Frequently asked questions
Can security officers certify that a vacant building is safe to enter?
A routine security inspection is not a technical safety certification. Qualified professionals and the responsible authorities must address relevant structural, electrical or other hazards.
What should a vacant-property report include?
Observed conditions, inspection limits, time, authorized actions, the assigned owner and the next follow-up decision.
How should temporary contractor access end?
Record departure, reconcile keys and credentials, and close or formally extend the authorization through the property’s approved process.
